Volunteer Coordinator

Hours: 21 hours per week; Tuesday–Thursday; occasional evenings/weekends as required

Compensation: $30,600.00 per year
Location: On-site at 30 Rosemount Ave, Ottawa

About this position
Reporting to the Director of Operations, the Volunteer Coordinator is responsible for recruiting, training, scheduling, supporting, recognizing and retaining volunteers across Parkdale Food Centre programs. This role ensures volunteers have a positive, meaningful experience while meeting the operational needs of the organization.

Tasks & Responsibilities

Volunteer Program 
  • Recruit, onboard, and lead volunteer orientations.
  • Build strong, inclusive relationships with volunteers and foster a welcoming environment.
  • Serve as the primary point of contact for volunteer questions and concerns, addressing issues in a timely and respectful manner.
  • Ensure volunteer roles align with organizational needs and values.
Scheduling & Systems
  • Collaborate with staff across PFC to determine volunteer needs and ensure adequate scheduling for regular shifts and special events
  • Oversee and maintain volunteer management software, including maintaining accurate volunteer profiles and volunteer participation records
  • Post volunteer shifts, monitor sign-ups, and ensure adequate coverage.
  • Track volunteer hours and participation for reporting and recognition purposes.
  • Continuously improve systems and processes related to volunteer scheduling and communication.
  • Brief volunteers for events, ensuring clarity of roles and expectations.
Evaluation & Continuous Improvement
  • Gather feedback, including through the administering of an annual volunteer survey.
  • Use feedback to identify trends or areas for improvement and strengthen engagement, retention, and satisfaction.
  • Support staff in offering volunteer training opportunities
  • Support opportunities for volunteers to develop leadership capacity
  • Coordinate volunteer recognition activities and events
Administration & Compliance
  • Develop and refine communication materials for volunteers
  • Support adherence to organizational policies, procedures, and health and safety standards.
  • Contribute to reports and internal documentation related to volunteer engagement.
PFC Team Participation
  • Participate in internal PFC initiatives to ensure alignment with organizational values.
  • Attend staff meetings, trainings, events as appropriate
  • Role model professional behavior and positive communication with Neighbours, volunteers and staff team members
  • Support PFC fundraising and advocacy events as needed


Desired Qualifications
  • Experience coordinating volunteers in a nonprofit, community services, or related field.
  • Organized, independent, and self-directed, with the ability to manage multiple simultaneous priorities. Comfortable working in a busy co-working environment.
  • Comfortable using databases or scheduling software (experience with volunteer management platforms is an asset).
  • Excellent communication and interpersonal skills with individuals with diverse backgrounds and ability levels.
  • Strong problem-solving skills and a solutions/continuous improvement mindset.
  • Ability to work independently while collaborating effectively with a team.
  • Experience working with diverse communities and a commitment to equity, inclusion, and respect.
  • Ability to communicate in other language is an asset.

Working Conditions
  • Combination of desk-based and hands-on work.
  • Some evening and weekend availability is required to support programs and events.
  • The work may involve frequent interruptions that require adaptability and focus.
  • Moderate physical activity is required to perform the responsibilities of this role, including setting up special events.
